This Privacy Policy explains how FreeOrder ("we", "us", "our") collects, uses, and protects information in connection with the FreeOrder Admin Portal, used by restaurant and e-commerce owners and their staff to manage orders, menus, deliveries, and related account settings.
1. Information We Collect
- Account information: name, email address, phone number, password (stored hashed, never in plain text), and role (owner, staff, admin).
- Business information: restaurant/company details, address, opening hours, delivery zones, menu content, and uploaded images.
- Order and customer data: order history, delivery addresses, and customer contact details processed on behalf of the restaurant to fulfil orders.
- Payment information: processed by our payment providers (Stripe and/or Square). We do not store full card numbers on our servers.
- Usage data: log data, device/browser information, and cookies used to keep you signed in and to understand how the portal is used.
2. How We Use Information
- To provide, operate, and maintain the Admin Portal and the ordering services it supports.
- To process orders, payments, and deliveries on behalf of the restaurant account.
- To send account-related notifications (e.g. order alerts, security notices, password resets).
- To detect, prevent, and address fraud, abuse, and technical issues.
- To comply with legal obligations, such as tax and financial record-keeping.
3. Sharing of Information
We share information only where necessary to operate the service, including with:
- Payment processors (Stripe, Square) to process transactions.
- Cloud hosting and storage providers (e.g. Microsoft Azure) to store account data, images, and documents.
- Email/SMS delivery providers to send transactional notifications.
- Delivery/logistics partners where applicable, to fulfil delivery orders.
We do not sell personal information to third parties.
4. Data Retention and Account Closure
When a restaurant owner removes a staff member, that staff account is deleted from our systems. When a user closes their own account, we deactivate the account (it can no longer be used to sign in) while retaining the underlying records for as long as necessary to meet accounting, tax, and legal obligations. You may contact us at any time to request further information about, or removal of, your data, subject to these obligations.
5. Cookies
We use essential cookies to keep you signed in and to remember your session and preferences. These are required for the Admin Portal to function and cannot be disabled without affecting your ability to use it.
